Account Executive

Position Overview: The Account Executive will be responsible for managing payment processing, record maintenance, and ensuring timely follow-up on pending payments. The role includes preparing payment vouchers, managing cash and cheque payments, coordinating with the concerned departments, and maintaining accurate records in the accounting system.

Key Responsibilities:
  • Manage payments to hotels, guides, drivers, vendors, and other service providers.
  • Issue receipts for payments received (in Nepal, Bhutan, and cash transactions).
  • Maintain and update daybook, Esewa records, and file all expense documentation.
  • Process bank remittances, EMI, and utility payments promptly.
  • Prepare and monitor reports for payments received, pending payments, and invoice tracking.
  • Coordinate with Accounts, Admin, and Operations teams for voucher preparation and approval processes.
  • Ensure regular filing of payment records and maintain accurate financial documentation.
  • Oversee timely TDS submissions as per the regulatory requirements.
  • Provide regular updates on payment status and financial activities to management.
  • Assist with month-end financial reconciliations and reporting for internal audits.
Miscellaneous Duties:
  • Regularly communicate with concerned departments via Teams and email regarding payment status.
  • Maintain organized filing of payment receipts, vouchers, and related documents for record-keeping.
Qualifications:
  • Proven experience in accounts and payment processing.
  • Proficient in Excel and accounting software (Tally knowledge is a plus).
  • Strong attention to detail and organizational skills.
  • Excellent communication skills for coordination with internal teams and external parties.
Requirements (Tour Guide):
  • 3+ years experience as a tour guide in Nepal.
  • Fluency in English and Nepali (additional languages a plus).
  • Wilderness First Responder certification or equivalent.
  • Excellent physical condition for high-altitude trekking.
  • Deep knowledge of Nepalese culture and trekking routes.

Professional Driver

  • Safely and efficiently transport clients to various destinations
  • Maintain cleanliness and functionality of the vehicle
  • Plan and follow the most efficient and timely routes
  • Ensure compliance with all traffic laws and regulations

  • Coordinate with the operations team as required

Qualifications

You will collaborate with hotels, airlines, tour operators, and other partners to create unforgettable travel experiences that cater to the unique preferences and desires of affluent travelers.

Key Responsibilities:

  • Consultation and needs assessment with clients to understand their travel preferences, interests and budget.
  • Craft customized travel itineraries that align with clients' preferences, incorporating luxury accommodations, exclusive activities, unique experiences, dining reservations, etc. to provide a personalized and distinctive travel experience.
  • Possess an in-depth understanding and stay updated about various destinations, including cultural attractions, local customs, and hidden gems.
  • Build and maintain strong relationships with luxury hotels, resorts, airlines, and other travel partners as well as negotiate exclusive rates, amenities, and privileges for clients to enhance their travel experience.
  • Ensure seamless travel logistics and troubleshoot any issues that may arise during the journey including flights, accommodations, transportation, and special requests.
  • Offer real-time support to clients, addressing any concerns or changes that may arise during their travels.
  • Identify opportunities to enhance the travel experience by offering additional services, upgrades, or experiences.
  • Maintain accurate and organized records of preferences, itineraries, and communication history for future reference.
  • Gathering feedback and communicating it to relevant departments to improve service quality.

Qualifications:

  • Bachelor's degree in hospitality, tourism, or related field (preferred).
  • Proven experience in luxury travel planning or a related role.
  • Excellent communication and interpersonal skills.
  • Strong attention to detail and organizational abilities.
  • Extensive knowledge of luxury travel destinations, accommodations, and experiences.
  • Proficiency in using travel booking systems and software.
  • Ability to work under pressure and manage multiple client requests simultaneously.

  • Coordinate unique experiences such as helicopter tours and special welcome arrangements.
  • Manage and follow up on transportation services and amenities for groups.
  • Verify hotel rooms, restaurant reservations, and special activities to ensure top quality.
  • Oversee arrival/departure details, visa payments, and VIP lounge access for guests.
  • Confirm and manage trip budgets and resources efficiently.
  • Keep the correspondence team updated on running files and itineraries.
  • Gather and hand over guest feedback and trip reports for continuous improvement.
  • Update completed file records and send feedback forms as needed.
